Department Information
The Indiana University (IU) School of Dentistry has been advancing oral health in the state and beyond since 1879, when it was founded as the Indiana Dental College. The Office of Student Affairs and Admissions works with faculty students and staff, including fellow leaders, to facilitate an infrastructure that supports student recruitment admissions, retention, and activities to support student success. Our focus is on making the student experience exceptional. We are eager for someone to join our dedicated staff and faculty team to support students from admissions to graduation.
Job Summary
Department-Specific Responsibilities
Provides administrative support to the Office of Student Services and the Associate Dean of Student Affairs and Admissions.
Supports shared tasks within Student Services and Admissions.
Handles daily office operations, including purchasing, travel, email messages, calendar monitoring, and phone inquiries.
Manages logistics for meetings and telephone conferences, schedules student appointments, and processes student travel.
Supports staff assigned to coordinating student summer experiences and outreach and pre-dental community engagement.
Supports team members who oversee engagement with prospective students interested in dental school programs.
Responsible for implementing Student Services initiatives: works across departments to support major events including but not limited to the School Recognition Ceremony, White Coat Ceremony, Inclusive Excellence Week, Career Fair, and Scholarship Banquet.
Maintains digital and educational archives.
Responsible for office communications and implementing an internal social media platform (i.e., Viva Engage).
Helps to develop programs that create outward-facing content promoting the school's community, regional, and national profile.
Maintains schedules and calendars for the Associate Dean of Student Affairs and Admissions.
Maintains an inclusive and safe environment for the IUSD Office of Student Services, including managing networking events with appropriate catering.
Creation of Admissions Dashboard.
Create admissions reports from the dashboard for internal use.
Create outcomes assessments for student data.
Monthly budget reporting.
Requirements
General Responsibilities
Responds to requests for program information by staff, students, and faculty; handles any necessary correspondence.
Maintains records of program activities.
Oversees and ensures the timely processing and delivery of required materials.
Conducts research and compiles materials and information in support of program.
Collects and helps to analyze data and information generated or produced by program; writes reports and other written materials based on this data.
Coordinates event planning related to program, while working with a wide range of people (university administrators, faculty, students, and vendors).

EDUCATION
Required
High school diploma or equivalent (such as HSED or GED)

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
